Follow this tutorial to connect BookingKoala (or a similar CRM) with ReviewRover using Zapier to automatically send contacts and trigger review requests.


How to Connect Your CRM to ReviewRover Using Zapier

The video above walks through this process end to end. Use the steps below as a written reference.


Step 1: Create a Zapier Account

Go to zapier.com and sign up for a free account. The free tier supports up to 100 tasks per month — enough for most small businesses. If you're sending more than 100 jobs per month, Zapier's Starter plan (~$20/month) is all you need.


Step 2: Connect Your CRM to Zapier

Once logged in, click Create Zap. In the Trigger step, search for your CRM — for example, BookingKoala, Jobber, Housecall Pro, or ServiceTitan.

Select your CRM and connect your account by following the prompts. You'll typically need to log in and grant Zapier access.


Step 3: Set Your Trigger

Choose the event in your CRM that should kick off the review request. A good trigger is something that fires when a job is complete or a payment is collected — for example, "Booking Charged" in BookingKoala or "Job Completed" in Jobber.

Zapier will ask you to test the trigger by pulling in a recent record from your CRM. Confirm the data looks correct before moving on.


Step 4: Add ReviewRover as the Action

In the Action step, search for ReviewRover and select it. Choose Create or Update Contact as the action.

Connect your ReviewRover account — you'll be redirected to ReviewRover to authorize the connection via OAuth. Once authorized, you'll be brought back to Zapier automatically.


Step 5: Map Your Contact Fields

Map the fields from your CRM to ReviewRover's contact fields:

  • First Name → customer first name from your CRM
  • Last Name → customer last name
  • Email → customer email (required)
  • Phone → customer phone number

Email is the only required field. Any unmapped fields will be left blank.


Step 6: Test the Zap

Click Test Action to send a real contact into ReviewRover. Then go to your ReviewRover Contacts page and confirm the contact appeared. If everything looks correct, you're ready to publish.


Step 7: Publish and Turn On Your Zap

Click Publish Zap. Make sure the Zap is toggled on. From this point forward, every time the trigger fires in your CRM, the contact will be automatically added to ReviewRover and enrolled in your review request flow.
