FAQs
ReviewRover – Frequently Asked Questions
Core Value & Results
Why are Google Reviews and review velocity so important for my business?
Google's local-search algorithm rewards businesses that add fresh, high-quality reviews on a steady basis. Faster review velocity lifts your map-pack ranking, boosts click-through rates, and builds trust with new customers.
How does ReviewRover help me earn more 5-star Google Reviews?
Right after a job closes, we trigger an SMS and follow-up emails while the experience is still fresh. Customers land on your dedicated review link, see an optional AI-suggested review, and post in seconds — no login required.
What review rate should I expect?
Most service companies convert 20–30% of contacts into new Google reviews. High-volume trades that close tickets daily (cleaning, lawn, pool) often exceed that benchmark.
Is there any risk if I collect "too many" reviews quickly?
No. Google cares about authenticity, not pace. All reviews come from real job data, so scaling quickly is perfectly safe.
Getting Started & Onboarding
How do I create an account?
Sign up with Google or any email and password at dashboard.reviewrover.co. Our site is fully encrypted end-to-end.
What information do I need to connect my Google Business Profile (GBP)?
Log in with any Google account that has Owner or Manager access to the GBP. It doesn't have to be the primary owner address.
How long does onboarding take if I'm not technical?
Most businesses are live in under 15 minutes: sign up, connect GBP, plug in your CRM or upload a CSV, and send your first review request. For more complex setups, our team will walk you through on a concierge call.
Do I need a developer or marketing team to run ReviewRover?
No. ReviewRover is built for owners and office admins. If you can log into QuickBooks or upload a CSV, you can run ReviewRover.
How fast can I be live?
- Sign-up: 2 min
- Connect GBP: 1 min
- Connect CRM or upload CSV: ~10 min
- First review request sent: under 15 min total from zero.
Messaging & Campaigns
What sequence do contacts receive by default?
The default flow is 5 steps:
- SMS immediately
- SMS after 1 day
- Email after 1 day
- SMS
Each step is fully customizable in the Flow Builder.
Can I customize the copy and timing?
Yes. Edit any message and time delay directly in the Automation Flow Builder under Review Request Flow > Flow.
What number or address do messages come from?
Texts are sent through Twilio-verified 10DLC numbers. Emails go via SendGrid with your business name in the "From" field.
Will the same customer get messaged again if they come back?
Duplicates are suppressed for 90 days. Anyone who has already left a review is permanently removed from future sequences.
How do you prevent repeat customers from getting review requests multiple times?
Every contact is tied to a unique email address. If a repeat customer is re-imported from your CRM, the system recognizes the duplicate and skips the outreach.
When is the best time to ask for reviews?
The sweet spot is right after value is delivered — job completion, final invoice, or project handoff. CRM and QuickBooks triggers let you automate this at exactly the right moment.
Product Features
What is the Instant Message feature, and when should I use it?
Instant Message lets you send a one-off review request (SMS and/or email) directly from the dashboard — great for on-site work or end-of-day follow-ups. It fires immediately and does not enroll the contact into your full automated sequence. Free accounts include 10 lifetime instant messages; paid subscribers get unlimited.
How do AI-powered review suggestions work?
After clicking the star rating, customers see a pre-written 60–80 word review suggestion with your business name and service keywords. They can copy, edit, or write their own. Every suggestion is unique.
What is the Review Hub?
Your Review Hub is a permanent, reusable shareable link that displays your Google reviews and invites new ones. Use it in your website footer, email signature, or as a QR code. Unlike the links sent through your automated flow, this link never expires.
Do you support review replies directly from the dashboard?
Yes. Go to My Reviews, click into any review, select a tone, and click Generate. The AI drafts a reply which you can post to Google in one click. Auto-reply to all reviews is currently in development.
Can I use a QR code for walk-ins or field crews?
Yes. Your Review Hub link can be turned into a QR code — perfect for invoices, signage, or vehicle magnets.
What is the Feedbacks section?
When a customer completes your review request flow, they're asked to rate their experience. Regardless of their rating, all customers receive a link to leave a Google review. The Feedback inbox captures private messages from customers who chose to share additional comments or concerns directly with you — giving you a chance to follow up and resolve issues. Every customer always has a path to Google.
Integrations & Data Sources
Which CRMs and payment systems integrate today?
- Native: QuickBooks Online and Stripe
- Via Zapier (8,000+ apps): Jobber, ServiceTitan, Housecall Pro, BookingKoala, Acculynx, Clio, Vcita, Skimmer, SingleOps, and more
Do I need to pay for Zapier?
If you send fewer than 100 jobs/month, Zapier's free tier works. The Starter plan (~$20/month) covers higher volumes. We provide video walkthroughs and can set it up with you on a concierge call.
Can I upload past customers to jump-start my reviews?
Yes. Go to Contacts > Import Contacts and upload a CSV. Map your columns to ReviewRover fields — email is the only required field. A downloadable template is available on the import screen.
Multi-Location & Teams
Can I manage multiple GBPs or locations from one login?
Yes. Add unlimited locations under one account and switch between them using the dropdown in the top-right corner of your dashboard. Each location has its own dashboard, flow, and settings.
Can the system automatically distribute reviews across multiple locations?
Yes — this is live. Under Review Request Flow > Settings, choose between round-robin (equal rotation) or weighted distribution (you set the percentage split per location with sliders).
Can field staff send review requests directly?
Yes. Anyone with access can use Instant Message or share the Review Hub QR code from their phone in the field.
Can I test the system on one location before rolling out to all GBPs?
Yes. Many businesses pilot ReviewRover on one or two locations first, then expand.
Compliance & Deliverability
Why do I need to add my physical business address?
U.S. A2P-10DLC and CAN-SPAM regulations require a valid physical address on every outbound SMS and email. Add it under Settings > Account Settings.
Do you support opt-out keywords?
Yes. STOP, CANCEL, UNSUBSCRIBE, and similar keywords immediately halt all messaging for that contact.
Is ReviewRover 10DLC-registered and CAN-SPAM compliant?
Yes. Registered through Twilio (SMS) and SendGrid (email). Every message includes an unsubscribe option and your business address footer.
Does ReviewRover engage in review gating?
No. Regardless of how a customer rates their experience, all customers receive a link to leave a Google review. The Feedback inbox is a customer service tool that gives you a chance to resolve issues — it is not a filter that blocks negative reviewers from reaching Google.
Analytics & Reporting
How do I know if ReviewRover is working?
Your dashboard shows all-time metrics: emails sent, texts sent, links clicked, feedback collected, total reviews, and average star rating — all updated in real time.
What are your typical SMS and email deliverability rates?
- SMS: ~82% delivered
- Email: ~95% delivered
We use warmed IPs, SPF/DKIM alignment, and carrier-grade infrastructure.
Pricing & Billing
How much does ReviewRover cost?
$97/month for your first Google Business Profile. $50/month for each additional location. Unlimited SMS and email volume is included.
Is there a contract?
No. ReviewRover is month-to-month. Cancel anytime inside Settings > Billing. Your card stops being charged immediately and your data is retained for 30 days after cancellation.
